Duties:
1) perform general clerical duties such as general office support, personnel, finance and accounts, opening and closure of files, statistical duties, receipt and dispatch services, messengerial duties and other departmental support
2) To assist in compiling returns and maintalning database and registers kept by the office
3) To assist in answering telephone enquiries, taking message and passing to the responsible officers for follow-up when necessary and to provide support to the reception counter when necessary
4) To assist in procurement of goods and services, including inviting quotations issuing orders, liaising with suppliers for delivery of goods/services, and arranging payments
5) To assist in supplies matters such as controlling inventory and updating inventory records, keeping ledgers and working stores tables, making arrangement for maintenance and repair of furniture equipment
6) To assist in verifying and reviewing financial statements, expenses tables and invoices related to office cases
7) To assist in preparation of promotional/ group /programme materials and keeping resource materials/ newspaper cutting
8) To assist in handling applications for different funds and keeping records of various Trust Funds and Non-government Fund Account
9) To assist in records management matters, including implementation of Electronic Recordkeeping System, managing the Filing Registry, performing routine filing work such as inserting enclosures, indexing, cross-referencing, bring-up and putting away of files
Qualification Requirements:
1) Completed Secondary 4 with subjects studied including Mathematics, or equivalent:
2) Reasonable level of proficiency in both oral and written English and Chinese
(3) Good computer knowledge including possessing Chinese and English word processing skills and being proficient in the use of computer applications such as Microsoft Word, Excel and Access
Normal Service Hours Monday to Friday (Except Public Holidays) 9:00 - 17:18
Salary: $14,735 per month
One year contract from 3 June 2024 - 2 March 2025
