Assistant, Lab Admin & Customer Experience Support (Part-time)

Position:

• One part-time role based in the Hong Kong Science Park, Shatin, daily 9am - 4pm or 8.30am - 3pm.

• Candidates must be eligible to work in Hong Kong without needing a company-sponsored work permit.

• Local commutes and outdoor work where required by tasks.

Qualifications & Experiences:

• Diploma in business or related disciplines.

• 2-3 years of work experience in business administration at SME companies. 

• Excellent command of written and spoken English.

• Proven ability to work in an international team, with English as the primary communication language.

• Excellent command of written and spoken Chinese (Cantonese and Mandarin).

• Proficiency in Microsoft Office Suite and virtual meeting tools.

• Aligned in value of ESG in business operations.

Job responsibilities:

Lab & Office Admin

• Report to the Group Manager, Admin to implement various business projects and team-building activities in the Hong Kong office.

• Support all operation matters in the Hong Kong office and lab (including running errands around HKSTP).

• Support the R&D team in regularly cleaning lab equipment and autoclaving utensils.

• Support the R&D team in ordering and coordinating with suppliers to deliver materials.

• Register materials delivered and keep records of materials consumed.

• Keep track of stocks and raise purchase orders for approval in a timely manner.

• Support the accounts and finance team in compiling various records of orders and delivery.

• Oversee the upkeeping of the lab and manage service providers, including cleaning, building management, office equipment and IT.

• Act as a contact point for HKSTP on matters related to the use of the lab and other common facilities.

• Take up special projects or ad hoc tasks as needed by Manager, Admin or as assigned by Senior Management.

Customer Experience Support

• Report to the management or designated members of the customer experience or sales team.

• Provide reliable customer support to the management and sales team on customer services.

• Manage excellent customer experiences post-checkout or post-quotation to product received, including but not limited to checking with the accounts team the payment status, requesting the warehouse team to prepare product release and shipment, following up on the shipment details and updates, communicating with customers about the order progress, coordinating internally to provide appropriate and timely replies to customers’ questions regarding their orders, recording confirmation of receipt of products by customers, coordinating with sales team to receive feedbacks from customers.

• Coordinate with other teams to troubleshoot issues concerning customers’ experiences from order placing to order completion.  Discover areas for improvement and make suggestions to management and other teams.

• Take up special projects or ad hoc tasks related to customer support as needed.
