Role Overview
The Production Manager is responsible for the production execution of the multiple projects for Great Entertainment Group, which could include the AIA Carnival in Hong Kong and across other events. Working closely with the Executive Producer & Operations team, and cross-functional teams (creative, operations, technical, vendors,), this role ensures production of events is delivered to the highest standards on time, within budget, and in full compliance with all safety and regulatory requirements.
Key Responsibilities
Production Leadership & Delivery
Produce production plans and execution strategy for the multiple events (including the AIA Carnival) translating creative intent into a workable physical production schedule.
Coordination with internal teams and contractors during build, show, and strike periods.
Ensure all production milestones (design handover, technical submissions, vendor readiness, load-in/out, approvals) are completed on schedule.
Coordinate staffing and resource planning across departments to meet operational needs.
Scheduling, Budgeting & Cost Control
Develop and maintain the master production schedule, including dependencies and critical paths (load-in, installation, rehearsals, show operations, strike).
Manage production budgets in partnership with the Executive Producer and Operations teams, tracking spend and identifying cost risks early.
Support procurement planning, vendor negotiations, and change management (scope, timeline, cost impacts).
Technical & Vendor Coordination
Provision of technical production activities including (as applicable) staging, Power, utilities lighting, audio, rigging, video/LED, power distribution, effects, and staging logistics.
Serve as the point of contact for technical leads and suppliers, ensuring deliverables meet event requirements and deadlines.
Review vendor documentation (timelines, diagrams, method statements, risk assessments, insurance) and track sign-offs.
Ensure installation and testing processes are completed correctly (ATPs, system checks, rehearsals, contingency planning).
On site management of Vendors, identifying and resolving any on site technical issue
Safety, Compliance & Risk Management
Ensure production activities comply with Hong Kong regulations and venue requirements, including permits, safety codes, and operational protocols.
Coordinate with relevant safety officers/authorities, venue management, and internal teams to ensure readiness for inspections and safety walkthroughs.
On-site Execution (Build / Show / Strike)
production operations during the event lifecycle: build (setup), showtime (run of show), and strike (demobilization).
Manage logistics including access windows, delivery routes, manpower deployment, equipment movement, and storage.
Confirm post-event teardown standards, equipment accountability, and inventory closure.
Cross-functional Collaboration
Work closely with the Executive Producer and Senior production & Operations stakeholders to align creative, operational, and technical goals.
Partner with marketing/brand teams to support brand activations and ensure production requirements are integrated.
Coordinate with customer experience and operations teams to ensure smooth guest flow, access management, and service operations.
Qualifications & Experience
Minimum [5+] years of experience in live event production management (Carnivals festivals, concerts, corporate events, or large-scale public events).
Demonstrated ability to manage complex schedules, multiple vendors, and concurrent deliverables under tight timelines.
Strong technical understanding of staging/AV/power/workflows (depth commensurate with responsibility; not necessarily engineering-only).
Proven experience leading safety planning, risk assessments, and compliance-oriented production processes.
Ability to manage budgets and vendor spend responsibly.
Confident, calm leadership in high-pressure on-site environments.
Good command of English and Cantonese
Skills & Competencies
Mastery of production planning tools and operational documentation (e.g., Gantt charts, call sheets, run-of-show, vendor trackers).
Excellent communication and stakeholder management (internal teams, venue, authorities, vendors).
Strong problem-solving skills and operational decision-making.
Detail orientation with the ability to see the critical path.
Leadership mindset, with a strong sense of accountability and ownership.
Auto Cad proficiency
Preferred (Nice to Have)
Experience specifically in Hong Kong events or familiarity with local permitting/venue processes.
Experience with public-facing, family-oriented event operations and guest experience constraints.
Familiarity with audio/lighting/video workflows, power distribution concepts, and show control practices.
Physical / Availability Requirements
Ability to work long hours during build/show/strike periods, including evenings and weekends.
Ability to be on-site for extended durations and to coordinate physically demanding logistics.
May require event-day availability for rapid response and escalation.
